This role is central to the smooth operation of the department, providing comprehensive administrative and coordination support across all team activities. You will assist in the planning, organisation, and delivery of Universal Music’s artist-led events, ensuring all logistics, schedules, and communications run efficiently.

Acting as a key point of contact for internal teams, labels, and artists, you’ll help maintain strong working relationships while supporting the wider team and taking ownership of assigned projects to ensure successful and seamless event delivery. 

Alongside, you’ll act as a key contact for Artist Relations, relationship-building to enhance the overall Universal Music artist experience.  

 

Key Responsibilities 

Administrative & Team Support 

  • Maintain key departmental documents including schedules, supplier lists, budgets, reports, and trackers of artist activity. 

  • Look after and manage the AR insta page getting approvals from labels posting events and keeping it relevant and up to date  

  • Manage general administrative duties such as meetings,  the VPs diary , processing payments, booking travel/taxis, and setting up new suppliers. 

  • Assist with the preparation of event materials such as riders, event boxes, and internal content. 

  • Support departmental communications, including managing the social media account and internal reporting. 

  • Manage the Monday.com account 

Event Planning & Delivery 

  • Support the coordination and delivery of artist-led and company events from planning through to execution. 

  • Manage and update core event documents such as timelines, budgets, health & safety forms, and post-event reports. 

  • Coordinate suppliers and contractors (production, catering, security, hosts, etc.) to ensure smooth event delivery. 

  • Attend and assist with on-site event management and logistics. 

  • Conduct post-event wrap-ups and process relevant payments. 

Research & Relationship Building 

  • Research and present new venues, suppliers, and creative event concepts, staying up to date with industry trends. 

  • Help develop and maintain a central “Approved Suppliers / Black Book” document. 

  • Build and maintain positive working relationships with internal teams, labels, and external partners. 

  • Stay up to date on new signings, trends and industry movements. Implement a system for the department to stay up to date. 

  • Regularly going to gigs and relevant launches (Media Eye use encouraged). 

 

Required Skills & Experience 

  • A genuine interest in live events and the music industry. 

  • Proven ability to work collaboratively as part of a busy team. 

  • Strong Microsoft Word and Excel skills. 

  • Excellent organisational and administrative skills, with great attention to detail. 

  • An interest in social media, with the creativity to develop content ideas and engagement strategies for the Artist Relations Instagram page. 

  • Flexibility to work occasional evenings and travel outside of London when required. 

  • Comfortable working in a fast-paced, high-energy environment, managing multiple priorities. 

  • A confident communicator who enjoys building relationships and meeting a wide range of people in both professional and social settings.
