Position: Executive Assistant to the President

The Shuman Management Company is seeking a highly organized and proactive Executive Assistant to provide both traditional administrative and personal support to our President. This role is ideally suited for a candidate who can anticipate needs, manage competing priorities effectively, and help ensure seamless day-to-day operations.
The ideal candidate will be detail-oriented, possess excellent communication skills, and be capable of handling a diverse range of responsibilities with professionalism and discretion.
Key Responsibilities:
- Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, and general office tasks.
- Collaborate with the first assistant to manage incoming calls, ensuring accurate and timely message delivery.
- Assist in appointment management and coordination with the relevant parties.
- Develop and maintain comprehensive databases, including online financial record-keeping for both the company and its clients.
- Assist first assistant in processing weekly company payments, as well as payroll.
- Organize travel arrangements and logistics.
- Manage office communications, including mail and email, in conjunction with the first assistant.
- Oversee office supply inventory and perform general office duties as required.
- Assist the President with personal tasks beyond standard office functions.
Qualifications:
- 1 year of experience in an assistant or administrative role preferred.
- Strong organizational and time management abilities.
- Excellent written and verbal communication skills.
- Professional, discreet, and dependable.
- Proficiency in Microsoft 365 (Outlook, Word, Excel).
- Proficiency in Notion a plus.
- Comfort in a fast-paced environment.
- Detail-oriented with strong follow-through.
- Availability to work overtime as necessary.
Salary/Benefits: $22/hour.
