Job Description
Executive Assistant at David Suh Co. Job Application:
Let’s Build a Legacy Together
I'm hiring someone fantastic to work with me as an Executive Assistant. This is a hands‑on role where you manage details, guard my focus, and make sure the most important work actually ships. I do my best work when I lock into one thing at a time, and in that flow, I create magic. So what I'm really hiring is the other half of that: the person who protects that flow and points it in the right direction, bringing the structure, order, and follow-through so my creativity ships instead of leaking out the sides.
To clarify: this is not a strategy role. I’ll set the vision and priorities; your job is to turn them into calendars, checklists, and finished work.
I work very hard against ambitious goals and will expect the same from you. And for the right candidate (the best of the best), this role will be the opportunity of a lifetime.
You will work closely with the CEO (that's me), learn something new each day, and create work that impacts millions of lives each year, helping people show up every day with their full potential, both in front of the camera and in real life.
This isn't a button-pushing, clock-out role. It's for someone who wants to build something one-of-a-kind and grow into a far bigger operator as the business scales. If you love organizing chaos, running point on logistics, and getting things over the finish line, you’ll thrive here.
About the Role: Executive Assistant
This is a hands-on role. You will need to hustle and work hard. You’re not going to be asked to do all of these things at once, but the right person will be able to manage these responsibilities and transition between them as needed.
Key Responsibilities:
- Calendar & Daily Prep:
- Own David’s calendar, travel, and daily prep so he has 2–3 protected deep‑work blocks / day for content and offers.
- Prevent double‑booking, keep him on time, and prepare briefs for every meeting.
- Communication & Follow‑Up:
- Triage inboxes (email, text, Asana/DM summaries), respond where you can, and surface only what truly needs David.
- Turn decisions into tasks, assign owners, and chase them to done.
- Workflow & Documentation:
- For any task that repeats twice, create a simple checklist or SOP (no strategy, just “this is how we do X”).
- Keep a lightweight “source of truth” organized: launches, travel, key contacts, current projects.
- Brand Partnerships, Events & Workshops Support
- Coordinate calendars, logistics, and deliverables for brand partnerships (shoot days, content deadlines, approvals, reporting).
- Prepare David for events, shoots, and appearances (run-of-show, locations, travel, wardrobe/props coordination with the team).
- Maintain a simple tracker of active brand deals, key dates, and statuses so nothing slips.
- Liaise with the talent manager / brands / PR to schedule, confirm, and follow up, without negotiating strategy or fees.
- Help plan and run in‑person events and workshops throughout the year (for example: confidence workshops, studio events, and brand activations) by owning logistics before, during, and after: attendee communications, check‑in, timing, and post‑event follow‑up.
- Launch & Project Support (Programs & Experiences)
- Help coordinate timelines, assets, and logistics for workshops, cohorts, and retreats.
- Maintain simple project boards and weekly status updates; no setting strategy, just keeping trains on time.
- Basic Content Support (as needed)
- Help capture simple behind‑the‑scenes and talking‑head content on shoot days and at events (phone shooting, basic framing).
- Follow shot lists and ensure footage gets labeled and uploaded correctly.
- Do light editing / trimming in simple tools when needed to help get posts out the door; you are not the primary editor.
- General Support
- Support David in the day‑to‑day of his professional and personal life (booking, errands, logistics, simple research, forms, etc.), stepping in with proactive solutions to keep the day running smoothly. Adapt quickly to new responsibilities, showing resourcefulness and initiative in tackling whatever tasks come up that help protect his time and focus.
📆Your First 90 Days: Success Looks Like
By day 90, you have:
- David’s calendar and inbox consistently under control (no surprises; <24h response on key threads).
- At least 3 deep‑work blocks per week protected and actually used for content / offer work.
- One full launch arc (from in‑person workshop into a 6‑week online experience) shipped on time, with you owning logistics, follow‑up, and documentation.
