Fortune Live Media produces premier conferences and events that convene leading innovators and thought leaders to examine the most important trends shaping business and society. These editorially driven experiences—often described as “live journalism”—blend high-caliber production with meaningful, insight-rich content. This role plays a critical part in event planning, logistics, and on-site execution, ensuring a consistently high-quality experience across all events.

Key Responsibilities
- Coordinate event logistics, production timelines, and run-of-show for live, virtual, and hybrid events.
- Support day-to-day production operations to ensure deadlines, deliverables, and quality standards are met.
- Manage travel and hotel room blocks, including tracking, reconciliation, and communications.
- Research venues and vendors; assist with RFPs, bid evaluations, and contract preparation.
- Support vendor coordination across production, A/V, design, and shipping partners.
- Collaborate cross-functionally to align production with event goals and attendee experience.
- Assist with event design execution, including staging, A/V, signage, and experiential elements.
- Track budgets, reconcile expenses, and identify cost efficiencies.
- Oversee inventory and manage shipping, receiving, and asset tracking.
- Support compliance requirements, including health, safety, and insurance.
- Assist with onsite execution and troubleshoot issues to ensure smooth delivery.
- Prepare production materials, planning documents, and internal presentations; support post-event reconciliation and insights capture.
- 2–3 years of experience in event production, logistics, or related fields (e.g., conferences, hospitality, hotel operations).
- Bachelor’s degree in event management, communications, hospitality, media, or a related field preferred.
- Strong project management skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills, with the ability to collaborate across teams and external partners.
- Detail-oriented, proactive, and solutions-driven, with a strong sense of ownership in fast-paced environments.
- Experience with budgets, vendor management, and contract coordination preferred.
- Familiarity with event and project management tools (e.g., Asana, Salesforce, CVENT) preferred.
- Willingness to travel and work evenings/weekends as needed.
