Job Overview:
You will provide crucial administrative and organizational support to senior management, managing their schedules, handling communications, preparing documents, and serving as a professional point of contact for internal and external team members, clients & vendors. Key skills for success in this role include strong communication, attention to detail, discretion, time management, and adaptability to support the executive's effectiveness.
Responsibilities: Calendar management: Manage and organize a complex schedule, including coordinating appointments, meetings, travel and events. Meeting preparation: oPrepare agendas, presentations, reports, and other documents for meetings. oOversee scheduling and hospitality needs for executive meetings, ensuring availability of conference space and appropriate catering. Information and document management: Maintain organized and confidential filing systems. Manage Corporate Credit Card - reconcile monthly invoice & process payment. Manage Office Supplies & Inventory, Toner, Copy Paper, Bottled Water, Manage Newspaper subscriptions, etc. Manage & Maintain Company Auto & Fleet Files. oVehicle Annual Tag & Registrations. oFleet Tracking, Update new and sold vehicles files. oCoordinate executive vehicle lease renewals. oAnnual Year End W-2 Mileage Report. oAccident Claims Reporting & Follow up. Process monthly invoices, data entry into Accounting Software. Expense management: Track and prepare expense reports. Maintain & Update Annual Hurricane Booklet Assist with Personal errands as needed - i.e., medical appts etc. Travel: Coordinate with Travel Manager all aspects of travel, including flights, accommodations, transportation, and detailed itineraries as needed. Other administrative duties as assigned.
Skills and qualifications Experience: This position requires minimum of 5+ years administrative experience, often specifically supporting upper management. Discretion and professionalism: Must be able to handle sensitive and confidential information with absolute integrity. Communication: Exceptional verbal and written communication skills are essential for interacting with all levels of the organization and external parties. Organization and time management: Superior ability to organize, prioritize, and manage a high-volume, dynamic workload while maintaining meticulous attention to detail. Tech-savvy: Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace) and an aptitude for quickly learning new systems and tools. Problem-solving: Ability to anticipate needs, think on one's feet, and resolve administrative or logistical issues proactively and independently.
