We are looking for a Temporary Benefits Coordinator! The Temporary Benefits Coordinator who will provides client service delivery and will support HR COE to maintain compliance with expected requirements, policies, procedures, and legal boundaries by keeping up with the daily task work of HR COE. Though generalist in nature, this role will support all HR COE functional areas including but not limited to: supporting payroll processing with employee data changes including learning to process payroll, benefits enrollment and changes to the plan including open enrollment, providing systems support, and providing assistance and support with training and OD. Other responsibilities will cover records management, responding and helping employees with their questions and issues, and be the point of contact for HR COE clients with pertinent questions about areas of expertise.

KEY RESPONSIBILITIES

  • Provide payroll support for 401k and help with researching payroll issues as needed.
  • Handle EEO-1 reporting
  • Administer all aspects of leave of absence programs.
    • Provide extensive case management and coordinate administrative aspects of the cases.
    • Interpret and administer leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.).
    • Coordinate and organize all medical information and ensure that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.
    • Ensure that all reportable workers’ compensation claims are submitted to Risk Services as soon as the injury is reported to HR.
    • In coordination with Oracle, manage all administrative aspects of leave to include tracking hours used/taken and working closely with payroll to ensure that pay is accurate and correct.
    • Coordinate and ensure benefit premium reimbursement and FSA/HSA suspension or continuation as necessary.
    • Work closely with employees to ensure that all relevant completed medical documentation is submitted for timely review.
    • Maintain appropriate contact with employees on leave and coordinate all aspects of return to work.
    • Ensure that STD claims are coordinated with FMLA or general medical cases.
    • Partner closely with HRBPs and/or Legal on all related cases/claims. Meet regularly to review the status of cases/claims and develop legally sound strategies for a mutually beneficial resolution.
  • Assist other team members as needed.
  • One on one follow up with individual employees who have not responded to emails/initiatives/open enrollment
  • Analyze and compile employee data from the payroll system to support annual 401k and financial audits.
  • Assist with annual security audits (SOC1/SOC2), assist as necessary to obtain records for review
  • Develop/help run reports to meet various levels of management requests for HR-related information.
  • Ensure company compliance with federal and state laws, including reporting requirements.
  • Prepare written communications as needed.
  • Monitor HR inbox
  • File room maintenance as required
  • Run ad hoc reports as needed from various systems (Oracle)
  • Death notifications to CEO Executive Assistant. Coordinate flower delivery with Reception
  • Send baby gifts to new parents
  • Special projects that may include compiling records, search for information, prepare data for analysis, working with regional offices and other HR related activities.

JOB REQUIREMENTS / QUALIFICATIONS NEEDED

  • Bachelor’s degree in a human resource related field and/or equivalent combination of education and experience.
  • Three years experience in a business office environment.
  • Three years experience in HR or office administration desired
  • Knowledge of administrative/clerical duties.
  • Knowledge of human resource functions.
  • Knowledge of basic accounting and/or mathematical functions.
  • Great customer service orientation
  • Professional demeanor, appearance and positive attitude with proactive approach to responsibilities.
  • Problem-solver and detail oriented.
  • Good judgment and decision-making skills.
  • Able to work independently.
  • Excellent communication skills including verbal, writing and in-person.
  • Ability to learn new tasks quickly and retain new information.
  • Must be highly organized, efficient and thrive in a fast paced environment
  • Strong time management skills.
  • Ability to take initiative, self-direct, meet deadlines.
  • Proficiency using spreadsheets, Microsoft Office and communicating in email professionally.
  • Willing to work minimal overtime as needed to meet deadlines.
  • Demonstrates flexibility.

The hourly range for this temporary position is $35/hr to $40/hr and will be commensurate with experience related to the position.
