Role Description: We’re looking for a proactive, design-forward, and detail-oriented Assistant, Executive & Creative Operations. You’ll play a dual role:


  1. Supporting the CEO Karam Gill with scheduling, communication, research, and day-to-day operational needs.
  2. Supporting creative and development operations by coordinating decks, shaping visual materials, tracking projects, managing internal systems, and helping maintain the workflows and structure that power MGX.


This is a role for someone who thrives in a fast-paced creative environment, understands the rhythm of production and development, and can anticipate needs before they arise. You’ll work closely with leadership, designers, producers, and creatives – acting as connective tissue across the company.


Responsibilities:


Executive Support

  • Manage and optimize the CEO’s calendar, scheduling meetings, and day-to-day workflow.
  • Serve as the point of coordination for internal and external communications – drafting emails, prepping materials, and ensuring follow-through.
  • Build agendas for meetings and take clear, organized notes and minutes, ensuring action items and follow-ups are captured, distributed, and tracked.
  • Track priorities, deadlines, and action items across multiple projects and help keep leadership unblocked.
  • Conduct research, prepare briefing docs, and support strategy conversations around new partnerships, pitches, and growth initiatives.
  • Maintain confidentiality and professionalism across all interactions.


Departmental Support

  • Maintain MGX’s internal development slate, updating status, references, attachments, and timelines.
  • Support deck workflow end-to-end, partnering closely with designers in Figma to organize layouts, update slides, pull visuals, track revisions, and uphold MGX’s visual, narrative, and brand standards.
  • Manage communications and scheduling between MGX and creative partners (writers, directors, talent teams, agencies, brands).
  • Conduct research into new worlds, story territories, cultural trends, and emerging creators to surface insights and references for MGX’s development pipeline.
  • Help draft, refine, and proof creative materials – acting as the team’s first line of defense for quality and clarity.
  • Contribute a strong design eye across references, visual pulls, deck formatting, and overall storytelling flow.
  • Provide on-set and production support as needed.


Internal Operations

  • Support team-wide organization across Dropbox, Notion, Monday.com, and MGX’s internal systems.
  • Research, test, and help implement AI tools and emerging platforms that improve creative, operational, or content workflows.
  • Assist with onboarding new collaborators, organizing team meetings, maintaining documentation, and streamlining workflows.
  • Coordinate logistics for both internal and external company events.
  • Assist with award submissions, PR needs, marketing copy, social assets, gathering credits, pulling selects, and drafting supporting materials.
  • Continually update and maintain external-facing materials (decks, website, PDFs, treatments, emails, submissions), ensuring they are consistently polished, error-free, and MGX-branded.
  • Jump in wherever needed – this is a highly collaborative role in a fluid, fast-moving environment.


What We’re Looking For

  • Has 1–3+ years of experience in production, entertainment, creative agencies, or similar fast-paced environments.
  • Strong visual and graphic design skills with fluency in Figma and Adobe Creative Suite, including comfort with light editing in Adobe Premiere.
  • Is extremely detail-oriented – proofreads instinctively, catches inconsistencies, and holds a high bar for polish.
  • Communicates clearly and confidently – crafting thoughtful emails, summaries, and decks with minimal oversight.
  • Is proactive and anticipatory – sees around corners, flags issues early, and offers solutions before being asked.
  • Is highly organized and thrives when managing multiple timelines, stakeholders, and workflows at once.
  • Is curious about culture, storytelling, artists, filmmakers, and emerging creative voices.
  • Balances creative sensitivity with operational discipline.
  • Enjoys being a collaborative team player in a fluid, evolving environment.
