ABOUT THE POSITION:
Buchwald is looking for a Business Operation Assistant to join our team. This position will assist President, Business Operations.
This opportunity is currently available in-person, in our Los Angeles office.
The primary focus of this administrative role is to support all aspects of business operations. The right candidate will have general knowledge of various facets of the industry and be able to multi-task at a high level. Excellent oral and written communication skills are crucial, as well as the ability to work mindfully within a team-driven atmosphere.
This position is ideal for a candidate who wants a career in operations or business management rather than talent and entertainment representation.
General Responsibilities:
- Interact with production companies, studios, and payroll companies with regards to client matters.
- Identify incoming checks to the bookings we have in our system. Review data for accuracy and completeness.
- Assist with general problem solving and tracking for numerous agents or clients.
- Generate start forms, identification paperwork and other agreements to clients via DocuSign.
- Draft, review, and track client escrow agreements. Flag matter for administration team to review.
- Liaise with management regarding office and facilities issues. Submit work orders to building management.
- Assist in office-to-office moves as well as IT/Computer/Phone swaps.
- Handle various independent projects and perform other duties and responsibilities as assigned.
Qualifications and Skills:
- Bachelor's degree (B.A.) or equivalent preferred.
- Minimum of (1) year of administrative support experience.
- Strong analytical and problem-solving skills.
- Self-starter with the ability to prioritize, organize and help establish administrative procedures.
- Strong proficiency in computer software applications (Microsoft Office, OneDrive, Sharepoint, Excel).
- Experience in digital tools (DocuSign, Adobe, HelloSign).
- Strong command of oral and written communication skills
- Detail oriented, organized, punctual and accurate.
- Ability to handle sensitive information with utmost confidentiality.
- Must be comfortable interacting with all levels of management and clients
- Should possess ability to act competently while maintaining a calm and professional demeanor.
- Collaborative problem solver driven to create systems and solutions to support the needs of the agency.
- Have ability to prioritize projects based upon the needs of the department and company as a whole.
- Be able to complete and manage required duties in timely fashion.
COMPENSATION
The base hourly rate for this position is in the range of $22 - $23/hr. This position also is eligible for full-time employee benefits. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
