THE ROLE
Reporting to and collaborating closely with the Creative Resource Manager and Creative leadership team, the Creative Assistant supports the day-to-day organization, coordination, and operational execution of the Creative Department across tours, events, VIP programs, merchandise initiatives, and experiential projects.
This role serves as an entry point into Creative Production, supporting project workflows, department organization, vendor coordination, and administrative execution while learning the operational foundations of live event and experiential creative production.
Responsibilities include but are not limited to:
- Support the Creative Department in the coordination and execution of creative projects across tours, events, VIP programs, merchandise initiatives, and experiential activations.
- Assist with project organization, task tracking, timelines, approvals, and internal coordination to help ensure creative deliverables are completed accurately and on schedule.
- Help maintain Creative Department workflows, project trackers, calendars, and collaborative management tools across platforms such as Airtable, Google Drive, Canva, and Trainual.
- Organize and maintain Creative Department files, templates, shared resources, presentation materials, and project archives.
- Assist with sample ordering, shipment tracking, and production logistics related to creative deliverables and merchandise development.
- Support the coordination of meetings, scheduling, internal reviews, and department communication across Creative and cross-functional teams.
- Assist with the upkeep and organization of creative reference materials, mood boards, asset libraries, product catalogues, and portfolio documentation.
- Help prepare presentations, mockups, creative decks, and organizational materials for internal and client-facing use.
- Support the documentation and maintenance of Creative Department processes, onboarding materials, and operational resources.
- Assist with office coordination and operational support for the Creative Department, including supply organization, workspace upkeep, and recurring vendor coordination as needed.
- Provide administrative and logistical support during high-volume project periods, live events, installations, and activations.
- Collaborate closely with Creative Designers and Operations teams to support project execution and department efficiency.
- Maintain strong attention to detail, organization, adaptability, and communication while working in a fast-paced live events and touring environment.
- Demonstrate a willingness to learn Creative Production workflows, operational processes, vendor coordination, and experiential project management within the entertainment and live events industry.
SOFTWARE PROFICIENCIES
Candidates must be proficient with industry-standard software and tools, including:
- Google Suite (Docs, Sheets, Slides, etc)
- Canva
- Airtable - bonus!
CANDIDATE SPECIFICATIONS
Candidates should have at least 1 year of experience working in live events. Candidates should be highly organized, excellent communicators, and creative problem solvers.
Candidates should be based in the New York City area and available to come in to the Brooklyn office 2-3 days per week
