Job Description

We are seeking a highly experienced Executive Assistant to work directly on the CEO’s desk. This is a critical, high-trust role for someone who thrives in a fast-paced, high-volume environment and understands how to operate with precision, discretion, and urgency.


The ideal candidate has prior experience supporting a senior executive or agent/manager on a demanding desk—preferably within entertainment, digital media, talent management, or an agency environment. You are detail-obsessed, operationally sharp, and capable of anticipating needs before they are expressed.


Key Responsibilities:

Executive Support


Serve as the primary gatekeeper and strategic partner to the CEO, managing all inbound communication and prioritization

Own and manage a complex, ever-changing calendar across multiple time zones

Coordinate high-volume scheduling across talent, brands, agencies, attorneys, and internal stakeholders

Prepare daily briefs, meeting agendas, and follow-ups to ensure continuity and execution

Communication & Coordination


Draft, review, and send communications on behalf of the CEO with accuracy and appropriate tone

Interface with top-tier talent, brand partners, publicists, and executives with professionalism and discretion

Track ongoing deals, conversations, and deliverables to ensure nothing falls through the cracks

Operational Execution


Maintain internal systems for tracking deals, pipelines, talent activity, and key business initiatives

Assist with assembling pitch materials, presentations, and internal documents

Coordinate travel logistics, itineraries, and expense reporting with precision

Desk Management


Act as an extension of the CEO in internal workflows—ensuring tasks are delegated, tracked, and completed

Manage competing priorities in real time while maintaining composure and accuracy

Identify inefficiencies and proactively implement organizational improvements

Qualifications

2-3+ years of experience as an Executive Assistant, Talent Coordinator, or Desk Assistant in a high-volume environment (agency, management company, entertainment, or digital media preferred)

Proven experience supporting a senior executive or running a busy desk with multiple stakeholders

Exceptional attention to detail—zero-error mindset across scheduling, communication, and documentation

Strong understanding of the creator economy, influencer marketing, and brand partnership landscape

Ability to prioritize ruthlessly and operate with speed without sacrificing accuracy

High level of discretion and professionalism when handling sensitive information
