We're growing and looking for a hands-on Production Coordinator Intern to join our core team. You'll work closely with us across multiple productions and help keep everything moving from the moment a job gets greenlit through the shoot and final delivery.
You must be based in the San Francisco Bay Area, CA and work in Pacific Time (UTC -7:00). This position will require occasional travel to/from San Francisco and Los Angeles for film shoots. You must hold a valid US drivers license.
This is a paid internship of $20/hr, 6 hours/day for 5 days/week.
This is a full-time internship role and a pretty central one. You'll work directly with the founders and have a lot of visibility into how Vega24 is being built. This role will start as an internship, with the opportunity to grow into a full-time position. We’re looking for someone who wants to grow with Vega24, take on more ownership over time, and eventually become a core part of the production team
What you'll be doing
- Coordinate the day-to-day logistics across our productions: crew, talent, locations, equipment, schedules, travel, call sheets, releases, vendors and everything else that comes up along the way.
- Build & track budgets, collect quotes, negotiate rates, manage invoices and expenses, and track productions.
- Pre-production: sourcing crew, locking locations, booking equipment/crafty, updating production docs, and following up with clients/prospects.
- Shoot days: responsibilities vary depending on needs. Should be comfortable getting hands-on with tasks such as coordinating crew or making a last-minute equipment pickup run.
- Improve the systems behind Vega24 as we scale: building better workflows, vendor databases, production templates, trackers, and processes so every production runs better than the last. When a system isn't working, you want to fix it rather than work around it forever.
- Effectively communicate with crew, vendors, founders and creative teams without making everything feel like a process.
Who we're looking for
- Significant experience working in production, ideally across commercials, branded content, creative agencies, or production companies. Student projects work too.
- Understands how a live-action shoot actually comes together and can take ownership without needing every next step spelled out.
- Deeply organized. Not "folders in your inbox" organized, but the kind who knows the status of three productions at once, what's still outstanding, who hasn't replied, and what might break tomorrow.
- Comfortable working quickly. Our clients are startups, so timelines are tight, priorities shift, and we need fast solutions without compromising quality.
- Resourceful and good under pressure. If we need a location, prop, crew member, or solution to an unexpected production problem, your instinct is to solve it.
- You care about the work, not just the logistics. Taste and attention to detail matter even in an operational role.
- Comfortable with the unglamorous parts of production, whether that's building a schedule or making a last-minute rental run.
- You want to help build Vega24, not just work on productions. As part of our core team, you'll help keep the studio organized as we grow: improving how we track productions, manage our crew and vendor network, build internal systems, and spot what needs to happen before anyone has to ask.
Requirements
- You should have professional live-action production experience and be comfortable with budgets, schedules, call sheets, crew and vendor coordination, releases, and shoot-day logistics.
- Hold a valid U.S. driver's license. We're based in San Francisco, CA and regularly shoot in both SF and LA. You'll need to be able to work on location and travel between the two when needed.
- Experience with Airtable, Google Sheets, Asana, Monday or similar tools is useful.
- Knowledge/curiosity of the tech startup world is a plus
