The Role 

The Project Coordinator plays a critical role in supporting the planning and execution of Peachtree’s live event portfolio. This position is responsible for driving organization, visibility, and follow-through across multiple projects, ensuring timelines, logistics, and communications remain aligned from pre-production through on-site execution.

What You’ll Do
  • Develop and maintain comprehensive project timelines, trackers, and deployment schedules across multiple events
  • Partner cross-functionally with internal teams and external vendors to ensure alignment and execution against key milestones
  • Monitor project progress, identify risks, and escalate issues as needed to maintain schedule integrity
  • Support budget tracking and revenue reporting processes (tracking and documentation only)
  • Manage invoice submission and payment tracking to ensure timely processing
  • Maintain centralized project documentation, ensuring accuracy, organization, and accessibility across teams
  • Capture meeting notes, track deliverables, and drive accountability on action items
  • Coordinate logistics, including travel, credentials, signage, merchandise, and vendor deliverables
  • Support the Festival Director with reporting, materials, and ongoing project updates
  •  Assist with on-site execution as needed, including travel to events

What You Bring

  • 2–4 years of experience in project coordination, live event production, touring, or a related field
  •  Experience supporting large-scale events, festivals, or tours in a fast-paced environment
  • Proven ability to manage multiple projects and priorities simultaneously
  • Strong organizational, communication, and problem-solving skills
  • Experience with budget tracking, invoicing, or financial coordination processes
  • Proficiency with project management and collaboration tools (e.g., Asana, Monday.com, Airtable, Google Workspace, Excel)
  • High attention to detail with a strong sense of ownership and accountability
  • Ability to adapt quickly and operate effectively under tight deadlines
  •  Willingness to travel (up to 30%) and support on-site event execution
