WHO WE'RE LOOKING FOR
The Senior Applications Administrator is a hands-on technical role responsible for the administration, configuration, licensing, and day-to-day support of the organization’s portfolio of SaaS applications outside of foundational systems such as Salesforce and Workday. As a member of the Information Technology team, you will serve as the primary technical owner for tools including (but not limited to) Canto, Swoogo, Airtable, and Slack, ensuring these platforms are secure, well-integrated, and aligned with business needs.
Partnering closely with stakeholders across the Recording Academy and its affiliates, you will onboard users, manage access and licensing, troubleshoot issues, coordinate vendors, and optimize application usage. Unlike system-specific administrators (e.g., Salesforce or Workday), you will own multiple applications and focus on scalable administration (security maintenance, business process configuration, reporting, and feature releases), vendor management, and operational excellence across the broader application ecosystem. As a quick technical and functional learner of new software applications, you will work with a sense of urgency while remaining collaborative and service oriented.
WHAT YOU'LL DO
- Administer and support a portfolio of SaaS applications.
- Manage user access, roles, permissions, and license allocation.
- Act as the primary IT point of contact for supported applications.
- Troubleshoot application issues and coordinate resolution with vendors.
- Partner with business stakeholders to gather requirements and improve tool adoption.
- Administer generative AI applications.
- Quickly learn new technologies as needed.
- Maintain documentation, standards, and best practices for application administration.
- Support renewals, compliance, and vendor relationship management.
- Monitor system performance, efficiency, and use.
- Monitor tickets and respond to daily support requests and resolve issues.
- Design job system job aids and develop user training.
- Other duties as assigned.
SKILLS & EXPERIENCE
- Bachelor’s degree in computer science, information technology, or related field.
- 5+ years of experience administering enterprise and/or business SaaS applications in a mid to large enterprise IT environment.
- Hands-on experience managing user access, roles, permissions, and licensing across multiple platforms.
- Experience administering tools such as Canto, Swoogo, Airtable, Slack or similar platforms. Previous DAM experience a plus.
- Experience with vendor management, renewals, and license optimization.
- Experience utilizing generative AI with applications for developing automations.
- Basic understanding of integrations, SSO, and identity management (e.g., SAML, Okta, Azure AD).
- Strong troubleshooting skills with the ability to diagnose application issues and coordinate resolution with vendors.
- Experience working directly with business stakeholders to gather requirements and support application needs.
- Familiarity with SaaS security concepts, access controls, and compliance best practices.
- Strong documentation and organizational skills, with the ability to manage multiple applications simultaneously. Application implementation experience preferred.
- Excellent communication skills and attention to detail with the ability to translate technical concepts for non-technical users.
- Willingness and availability for some travel as needed for periodic team meetings.
