STATUS: Freelance (20-30 hours/week) with the potential to grow into a full-time role.
DIRECT REPORT: Director of Strategy & Brand
Lead Management & Inquiry Response
- Serve as the first point of contact for all inbound booking inquiries & sales calls
- Respond to new leads quickly, professionally, and with strategic insight - phone and email both
- Qualify opportunities and guide next steps toward proposal and booking
- Track and manage all leads in the CRM, ensuring accuracy and momentum
Creative Team & Project Support
- Support the Creative Team across all active projects
- Keep CRM records updated with accurate, real-time project details
- Draft and send talent/agent inquiry emails
- Build and maintain organized project lists
- Ensure internal alignment and follow-through across all active opportunities
- Help move opportunities forward efficiently toward contract
Creative Direction & Talent Curation
- Lead creative ideation on select inquiries
- Research and curate talent options across music, comedy, speakers, and specialty acts
- Stay current on industry trends and talent landscape
- Build clear, compelling proposals and presentations
- Bring fresh ideas informed by what's happening in the industry right now
Qualifications
- Bachelor's degree or equivalent experience
- Experience in event coordination, talent booking, entertainment, or a related field
- Excellent phone presence: confident, warm, and clear
- Strong organizational skills with the ability to manage multiple priorities
- Understanding of budgets, contracts, and deal structures
- Proficiency in Google Workspace, Microsoft Office, Mac OS, and CRM systems
- Strong written and verbal communication skills
- Highly trustworthy; maintains absolute discretion and confidentiality
- Proactive, resourceful, and solution-oriented; anticipates needs before being asked
- Positive, adaptable, go-getter mindset with strong ownership and follow-through
- Polished and confident interaction with clients, executives, agents, and vendors
