Job Description
Big Loud Records is looking for a warm, highly organized, and resourceful Office Manager to join our Nashville team. As the first face and voice of the office, you will play a vital role in shaping the guest and team experience, from greeting artists and collaborators to maintaining a well-run, inspiring office space.
In this on-site role, you’ll manage all day-to-day operations, vendor relationships, facilities coordination, and broader internal support. In addition, you will serve as the culture creator and heartbeat of the office, being a resource to everyone who comes in our doors.
What you’ll do:
Reception & Office Hospitality
- Serve as the first point of contact for all guests, artists, writers, and team members entering the office
- Greet visitors with warmth and professionalism, ensuring everyone feels welcomed and supported
- Answer phone calls and direct inquiries as needed
- Manage mail, packages, and deliveries
- Assist with in-office events, showcases, and hospitality needs (catering, setup, etc.)
- Plan office cultural events, outings and parties.
- Help create and maintain a positive, artist-friendly atmosphere that reflects Big Loud’s values.
Office & Facilities Management
- Oversee all office operations and organization.
- Conference room management in a highly active, fast pace environment.
- Maintain office supplies, equipment, and inventory.
- Order, replenish and stock snacks, drinks and weekly lunch orders.
- Troubleshoot any day-to-day office issues and keep things running smoothly
- Coordinate repairs, office projects, and vendor contracts (cleaning services, HVAC, pest control, etc.).
Departmental Support
- Serve as support to our Director, Label Operations and EVP, General Manager in extra projects and operational support.
- Assist HR with onboarding new hires.
- Provide occasional meeting support for departments, such as preparing agendas and notes
- Additional projects to support all departments in the office as they arise.
What you have:
- 1+ years of experience in office management, front desk/reception, or administrative support (entertainment/music industry a plus) or some combination of internships.
- Friendly, professional demeanor and a people-first mindset.
- A proactive, solution-oriented mindset.
- Excellent communication and organizational skills.
- Ability to multitask, prioritize, and stay cool under pressure while maintaining a sense of urgency for time sensitive tasks.
- Comfortable using Google Workspace (Docs, Sheets, Calendar, etc.)
- Passion for music, creativity, and creating a welcoming environment.
- Flexibility to support occasional after-hours events, gatherings, etc.
