We are looking for an experienced Assistant to support the Chief Communications and Marketing Officer who has a genuine passion for being a part of our mission. This is located in our New York office, and, at this time, this role is in office five days per week.
In this role you will:
- Be the preliminary point of contact for all administrative inbound and outbound aspects for the Chief Communications and Marketing Officer (CCMO) that include: calendar management, setting and scheduling meetings, booking travel, note-taking, rolling calls, managing and submitting expense reports, etc.
- Assist in preparing all necessary presentations, meeting agendas, research and itineraries;
- Rely on sound judgment and knowledge of the business priorities to ensure relevant meetings and tasks are scheduled and handled in a timely manner;
- Collaborate with the entire Studio and Management divisions to achieve business goals;
- Coordinate with other departments (HR, Finance, Accounting, Business Affairs, and Operations) to ensure that all needs are being met and communicated;
- Serve as liaison between the CCMO and other departments as directed;
- Ensure vendor invoices and finances are paid in a timely matter and work with finance team to maintain overall budgets;
- Maintain contacts, modify/format documents including presentations (PowerPoint) and spreadsheets (Excel);
- Update and maintain media lists and press contact information;
- Help comprise and distribute press releases, programming notes and media alerts;
- Monitor and compile press clippings;
- Manage subscriptions, order department office supplies and additional administrative responsibilities;
- Assist with company’s social media accounts

- An experienced assistant who has spent a minimum of two years at an agency, management, or entertainment company;
- Passionate about the entertainment industry and specifically communications/marketing;
- Very organized with a great attention to detail, strong conflict resolution, and decision-making skills;
- Able to anticipate needs and be a flexible team player with a positive attitude;
- Self-directed, able to balance competing priorities and can pivot at a moment’s notice;
- Able to manage high volume, as well as your own time and prioritize tasks and meet tight deadlines when given clearly defined goals and objectives;
- An excellent communicator and writer;
- Ability to prioritize needs on the go and exhibit a strong sense of follow through
